C-Land Group ("C-Land Group", "we", "us" or "our") respects your privacy and is committed to protecting your personal data. This Privacy Policy explains what personal data we collect, why we collect it, how we use it, who we share it with, and what rights you have. It applies to this website and to the logistics, warehousing, fulfilment, customs and transport services we provide.

We process personal data in accordance with the EU General Data Protection Regulation (GDPR / in Dutch: AVG) and the Dutch GDPR Implementation Act (UAVG).

2. Personal data we collect

2.1 Website visitors

  • IP address (shortened where possible), device type, browser type and version, operating system and language settings
  • Pages visited, time and duration of your visit, referring website and links clicked
  • Cookie identifiers and similar technologies — see our Cookies Policy

2.2 Enquiries, quote requests and brochure downloads

  • Name and job title
  • Company name
  • Email address and telephone number
  • Country or location
  • The content of your message, including any details of the shipment, goods or services you ask about

2.3 Customers, suppliers, carriers and business contacts

  • Contact details of employees and representatives (name, function, email, telephone)
  • Order, shipment, consignment and delivery data, including addresses and delivery instructions
  • Signatures and names of persons receiving or releasing goods (for example on CMR consignment notes, proof of delivery and warehouse release documents)
  • Driver details where required for site access, loading and unloading (name, vehicle and licence plate)
  • Customs, excise and fiscal representation data required by law, including EORI numbers, VAT numbers and declaration data
  • Invoicing, payment and credit information
  • Correspondence with us

2.4 Site visitors and security

  • Visitor registration details at our warehouse and offices
  • CCTV footage recorded in and around our secured premises for the protection of persons, goods and property

2.5 Job applicants

  • CV, motivation letter, employment and education history, references and any other information you choose to share with us

We do not intentionally collect special categories of personal data (such as health or biometric data) through this website. Please do not send us such data unless we have specifically asked for it.

3. How we collect your data

  • Directly from you — when you complete a form, request a quote, download our brochure, email or call us, visit our premises, or enter into a contract with us.
  • Automatically — through cookies and similar technologies when you use our website.
  • From third parties — from your employer, from customers who instruct us to collect or deliver goods, from carriers and agents, from customs authorities, and from publicly available sources such as the Chamber of Commerce register or credit reference agencies.

Where we rely on consent, you may withdraw it at any time. Withdrawal does not affect the lawfulness of processing carried out before withdrawal.

5. Who we share your data with

We do not sell your personal data. We share it only where necessary, with:

  • Carriers, hauliers, shipping lines, airlines and agents engaged to collect, transport or deliver goods
  • Customers and consignees where required to complete a shipment or provide track-and-trace information
  • Customs and tax authorities, including the Dutch Customs Administration (Douane) and the Belastingdienst, and equivalent authorities in other countries
  • IT and service providers — website hosting, warehouse and transport management systems, email, cloud storage, security and analytics providers, acting as processors under a data processing agreement
  • Professional advisers — accountants, auditors, insurers, insurance brokers and lawyers
  • Banks and payment providers
  • Public authorities, regulators and law enforcement where we are legally required to do so
  • Acquirers or successors in the event of a reorganisation, merger or sale of all or part of our business

6. International transfers

Because we operate a global distribution network, your personal data may be transferred to countries outside the European Economic Area — for example when goods are shipped to or from the United States or other non-EEA destinations, or when a service provider processes data outside the EEA.

Where this happens, we ensure an appropriate level of protection through one of the following:

  • An adequacy decision of the European Commission for the country concerned
  • The European Commission's Standard Contractual Clauses, supplemented where necessary by additional technical and organisational safeguards
  • A derogation under Article 49 GDPR, such as where the transfer is necessary for the performance of your contract or for the establishment or defence of legal claims

7. How long we keep your data

We keep personal data only for as long as necessary for the purposes described above, and thereafter for as long as we are legally required or permitted to retain it.

8. How we protect your data

We apply appropriate technical and organisational measures to protect personal data against loss, misuse and unauthorised access, including encrypted connections (TLS), access controls on a need-to-know basis, secured and monitored premises with 24/7 security, backups, staff confidentiality obligations, and written data processing agreements with our suppliers. Our quality management system is certified to ISO 9001:2015.

If a personal data breach occurs that is likely to result in a risk to your rights and freedoms, we will notify the Dutch Data Protection Authority and, where legally required, you directly.

9. Your rights

Under the GDPR you have the following rights:

  • Access — to obtain confirmation of whether we process your data and to receive a copy of it
  • Rectification — to have inaccurate or incomplete data corrected
  • Erasure — to have your data deleted where there is no longer a valid ground for us to keep it
  • Restriction — to have processing limited in certain circumstances
  • Data portability — to receive data you provided to us in a structured, commonly used, machine-readable format, and to have it transmitted to another controller
  • Objection — to object to processing based on our legitimate interests, and at any time and without reason to processing for direct marketing
  • Withdrawal of consent — at any time, where processing is based on consent
  • Not to be subject to automated decision-making — we do not carry out automated decision-making or profiling that produces legal effects for you

To exercise any of these rights, email info@clandgroup.com or write to us at the address in section 1. We may ask you to verify your identity before we act. We will respond within one month, which we may extend by two further months for complex requests — we will tell you if that applies.

10. Complaints

If you are not satisfied with how we handle your personal data, please contact us first so that we can try to resolve it. You also have the right to lodge a complaint with the Dutch Data Protection Authority:

11. Providing your data

You are not obliged to provide us with personal data. However, some data is necessary for us to enter into or perform a contract with you, or to meet our customs and tax obligations. If you do not provide it, we may be unable to provide the requested services.

Our website may contain links to third-party websites and embedded content. We are not responsible for the privacy practices of those websites. We encourage you to read their privacy policies before providing them with personal data.

13. Children

Our website and services are directed at businesses and are not intended for children under 16. We do not knowingly collect personal data from children. If you believe we have done so, please contact us and we will delete it.

14. Changes to this policy

We may update this Privacy Policy from time to time to reflect changes in our services, technology or legal requirements. The current version is always published on this page with the date of last update at the top. Where changes are significant, we will notify you by an appropriate means.
